Your request portal logs the request, starts the statutory clock, and emails the requester a confirmation. What is FOIA redaction software?

What does a request portal handle vs. a review platform?

What redaction mistakes should you avoid?
- Black boxes that don't stick. Drawing a shape over text in a PDF editor can leave the words underneath, readable by anyone who copies and pastes. The American Bar Association's Judges' Journal reports that this happens with surprising frequency. Use a tool that burns redactions into the exported file, and confirm redactions are included before every export.
- Unmarked redactions. For federal agencies, the OPEN Government Act requires marking the amount of information withheld and the exemption claimed, at the point of redaction where technically feasible, according to Department of Justice Office of Information Policy guidance. Check what your state expects, too.
- The same email, redacted five different ways. One message sitting in five mailboxes can get five different treatments. Deduplicate first, then redact by rule across the project.
- Treating automation as the finish line. Editing an auto-redaction rule doesn't change redactions it already applied. Re-check the documents after any rule change.
- One person, one deadline, no backup. If a single officer holds the whole process in their head, a sick day becomes a missed deadline. Shared projects and clear roles fix that.
What are the best practices for FOIA redaction?
- Build redaction rules once and reuse them. Common PII types, phone and account number patterns, and exemption labels belong in every public records project.
- Keep a person on every release. An automated FOIA redaction tool finds the patterns. Your reviewer decides what the law protects.
