Emma Berrigan is the Records Manager at Poudre School District in Northern Colorado. She stepped into this role after working as a teacher in the district for nine years. Records requests at Poudre arrive in a constant flow, their scope swinging between narrow asks and sweeping any-and-all demands. Before: Sharpies, Photocopies, and a Process That Couldn't Keep Up

Poudre adopted Logikcull just before Berrigan joined the team. "I'm very thankful that they got Logikcull before I came on, because the previous way would have never worked for me," Berrigan recounted. Beyond clashing with her organizational and work style, the prior process would not have scaled to the volume her team has taken on over the years over the years.

To place legal holds: Poudre's legal holds were managed in a spreadsheet, with preservation notices and custodian reminders tracked manually and sent via email.  

After: One Connected Workflow

When Poudre implemented Logikcull, they retired the disconnected, manual process and consolidated all request types into a single connected workflow for collecting, reviewing, redacting, and producing responsive records.

Here's how Berrigan runs records request fulfillment now:

  1. A request comes in, and Berrigan opens a single Logikcull project for it.
  1. A template built for that request type (FERPA, public records, litigation) loads the right tags from the start.
  1. Global deduplication clears the email pileup, in some cases cutting volume by as much as 90% before review begins.

  1. Berrigan reviews and tags records, flagging any document she has a question on.
  1. Legal reviews only the flagged items instead of re-reading the full set.
  1. Redactions go on: auto-highlighting during review, and bulk redaction across the set wherever an identifier repeats.  

*These redaction features allow Berrigan to bulk redact any data types that follow a standard format. Berrigan, for example, shared she "might just go to the bulk redact and redact all of the student and employee IDs throughout all of the documents, which really saves a lot of time."

Within the Free Hour: How Time Savings Translate to the Community

Poudre gives requesters one free hour of staff time per public records request, then charges a time-and-cost estimate for anything beyond it. Under the old manual process, that hour vanished in collection and hand-redaction, capping how much the team could hand over before the meter started.
